At FilesSwap, we take your privacy seriously. This Privacy Policy explains how we handle your data when you use our file conversion services.

1. Information We Collect

1.1 Files You Convert

Browser-based processing (most tools): Many of our tools use JavaScript libraries (pdf.js, pdf-lib, jsPDF) to process files directly in your web browser. These files never leave your device—no uploads occur, processing is instant, and works offline after the page loads.

Server-based processing (some tools): Certain complex conversions (Word to PDF, Excel to PDF, PowerPoint to PDF, PDF to Word/Excel/PowerPoint, PDF repair, PDF compression) require server-side processing because browser-based libraries cannot handle these formats. When files are uploaded for these conversions:

• Files are encrypted during transfer using HTTPS/TLS
• Files are processed immediately by our conversion service or CloudConvert
• Processed files are automatically deleted from our servers within 1 hour
• We do not store, access, or share your file contents
• Files are not used for any purpose other than the requested conversion

1.2 Automatically Collected Information

When you visit FilesSwap, we may automatically collect:

• Browser Information: Browser type, version, language preference
• Device Information: Device type (mobile, desktop, tablet), operating system
• Usage Data: Pages visited, features used, time spent on site
• IP Address: For rate limiting, security, and analytics purposes (anonymized)
• Cookies: Small text files for site functionality and preferences (see Cookie Policy)

1.3 Information You Provide

If you contact us via email or contact form, we collect the information you choose to provide (name, email, message).

FilesSwap uses two processing methods depending on the conversion type:

4. Third-Party Services

4.1 CloudConvert

For server-based conversions, we use CloudConvert, a trusted file conversion service. When you use tools that require server processing, your files are uploaded to CloudConvert's secure servers. CloudConvert processes your files and returns the converted result. Files are automatically deleted from CloudConvert's servers after processing. CloudConvert has its own Privacy Policy that governs how they handle data.

4.2 Google Analytics

We use Google Analytics to understand how visitors use our site. Google Analytics collects information anonymously and reports website trends without identifying individual visitors. You can opt-out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

4.3 Google AdSense (Future)

We may display ads through Google AdSense in the future. Google may use cookies to show ads based on your visits to this and other websites. You can opt-out of personalized advertising by visiting Google Ad Settings.

6. Data Security

We implement appropriate technical and organizational measures to protect your data:

• HTTPS/TLS Encryption: All connections use HTTPS to encrypt data in transit
• Automatic Deletion: Server-processed files are automatically deleted within 1 hour
• Rate Limiting: API endpoints are rate-limited to prevent abuse
• File Validation: All uploaded files are validated to prevent malicious content
• Security Headers: We implement security headers (CSP, X-Frame-Options, etc.) to protect against common web attacks
• Restricted Access: Limited access to any collected analytics data
• IP Anonymization: IP addresses are anonymized for analytics purposes

7. Data Retention

Browser-processed files: Never leave your device. No retention.

Server-processed files: Automatically deleted from our servers and CloudConvert within 1 hour of processing. No permanent storage.

Analytics data: Retained for up to 26 months (Google Analytics default) in anonymized form. IP addresses are anonymized immediately.

Cookie data: Essential cookies last for your session. Preference cookies last up to 1 year. Analytics cookies last up to 2 years. You can manage these in your browser settings or via our cookie consent banner.

8. Your Rights (GDPR & CCPA)

You have the right to:

• Access: Request access to any personal data we hold about you
• Rectification: Request correction of inaccurate data
• Erasure: Request deletion of your data
• Restriction: Request restriction of processing
• Portability: Request transfer of your data
• Object: Object to processing of your data
• Withdraw Consent: Withdraw consent at any time

Since most file processing happens in your browser, we do not store your files. For server-processed files, they are automatically deleted within 1 hour, so there is nothing for us to delete upon request.

9. Children's Privacy

FilesSwap is not intended for children under 13. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

10. International Data Transfers

For browser-processed conversions, no international data transfer occurs—your files stay on your device. For server-processed conversions, files may be transferred to CloudConvert's servers, which may be located in countries outside your jurisdiction. CloudConvert complies with applicable data protection laws.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date at the top indicates when the policy was last revised. We encourage you to review this policy periodically.
